Offer Agent

The Offer Agent is an AI-native capability in Turiyaskills that automates the creation of offer documents through a conversational interface. Instead of manually building templates, a recruiter describes the offer details in a chat and the agent constructs and populates the documents automatically.

What the Offer Agent generates

A complete set of offer documents — Letter of Intent (LOI), CTC Breakdown, and Appointment Letter — generated from a structured conversation with the recruiter.


Why the Offer Agent Exists

The traditional manual offer workflow requires recruiters to hand-craft templates, key in salary structures, set up header/footer blocks, and manage each document individually. This is time-consuming, error-prone, and creates inconsistency across roles and departments.

Key Concepts

Offer Configuration (Offer Config)

An Offer Config is a saved salary and offer structure for a specific role and CTC range. Think of it as a reusable ruleset. It captures:

  • Salary component percentages (Basic, HRA, Special Allowance, Internet Allowance, etc.)
  • Labour code framework (Legacy Old India, Legacy New India, UAE / Tax-free Exemption Code)
  • PF cap, Gratuity rate, and performance bonus structure
  • Minimum and maximum CTC range (e.g., ₹7L to ₹10L)
  • Signatory details — name, designation, and email of the authorised signing officer
  • Document types to generate: LOI only, Appointment Letter only, or both
  • Whether a CTC breakdown is attached to the LOI

Multiple configs per role

You can create multiple Offer Configs for the same role — for example, one for candidates at ₹7–10 LPA and another for ₹10–14 LPA. When generating an offer, the system automatically matches the CTC entered to the right config. If no matching config exists, you will be prompted to create one.

Offer Documents

The Offer Agent can generate up to three documents per candidate:

Template Structure

Every document the Offer Agent generates has three structural layers:

  • Header block — company branding and logo. Set once in configuration; the agent does not modify this.
  • Footer block — page number, company name, signature block. Also pre-set; agent does not modify.
  • Body / Content — the salary structure, offer terms, candidate details, and clauses. This is what the agent generates and what you can edit in the editor after generation.

Signatures

The signature block is part of the footer layer and is pre-configured with a transparent PNG for the authorised signatory. The agent knows where to place it. Candidate acceptance signatures are captured through the signing module at the end of the flow.


Setting Up an Offer Configuration

Offer Configurations are set up once per role/CTC range and reused for every candidate. This is a one-time setup step done by a recruiter or HR admin before offers can be generated for a role.

Step-by-step: Creating an Offer Config via the Offer Agent

1. Navigate to the job posting in the Pipeline Builder. Go to Jobs → select the active job → click the Pipeline icon.

2. Open the Agentic Offer setup. In the Pipeline Builder, select the Offer stage and choose the Agentic Offer option (distinct from the Manual Offer option).

3. Chat with the agent to describe your offer structure. The agent will ask you a series of questions. Provide the following information:

  • Company name and industry
  • Role being hired for (e.g., Hardware Engineer)
  • Salary component breakdown as percentages — for example: Basic 33%, HRA 20%, Internet Allowance ₹2,000/month, Special Allowance (remaining balance)
  • Labour code to apply (Legacy Old India / Legacy New India / UAE)
  • Statutory deductions: Minimum Basic percentage (e.g., 40%), PF cap (e.g., ₹1,800), Gratuity rate (e.g., 4.81%)
  • Authorised signatory: full name, designation, and email
  • Performance bonus: percentage and threshold conditions
  • Which documents to generate: LOI, CTC Breakdown, Appointment Letter
  • Whether the LOI should include the CTC breakdown table

4. Confirm the summary and name the config. The agent will present a summary of everything it has captured and ask you to confirm. Once confirmed, give the config a name (e.g., 'Hardware Engineer') and set the CTC range (e.g., Minimum ₹7L, Maximum ₹10L). The config is saved and linked to the job.

Multiple configs, same role

You can create multiple configs for the same role with different CTC ranges. When you enter a candidate's CTC during offer generation, the system will automatically select the matching config and show a dropdown if more than one config matches.


Generating an Offer for a Candidate

Once an Offer Config is in place, generating an offer for a specific candidate takes only a few inputs. This is done from the Offer stage in the candidate's pipeline.

Step-by-step: Generating an Offer

1. Open the candidate's pipeline record. Navigate to the candidate who has cleared all interview stages and reached the Offer stage.

2. Enter the candidate's offer details. Fill in the following fields in the Offer Agent task panel:

  • Total CTC — the system auto-matches this to the correct Offer Config
  • Proposed joining date
  • Department
  • Joining bonus (optional — only appears if enabled in the config)
  • Notice period (if applicable)

3. Review the auto-populated salary breakdown. As soon as the CTC is entered, the system fetches the matched Offer Config and displays the full monthly/annual component split for review. Verify this is correct before proceeding.

4. Click Generate. The agent triggers the document generation pipeline. Generation takes approximately 1 minute 40 seconds to 2 minutes. You do not need to stay on this page — you can navigate away and return. The page will show you the current status when you come back.

Generation runs in the background

Document generation runs as a background process. The page will not lock your browser navigation. When you return to this page, you will see a summary of the candidate's offer details and the current generation status. Once complete, the draft documents will be available for review.

5. Review and edit the draft documents. Once generated, the LOI, CTC Breakdown, and Appointment Letter appear as editable drafts. You can modify any content in the body section — candidate name, joining date, signatory name, or any offer terms. Header and footer blocks are locked.

6. Finalise the draft. When you are satisfied with the content, click Finalise. At this point, the draft is locked for editing. The documents are converted into signed, branded PDFs with formatted page numbers. A fresh draft can be regenerated if needed before finalisation.


Document Flow and Signing Process

After finalisation, the Offer Agent manages a sequential signing and release flow based on the document configuration you set up.

Flow When LOI is Configured

Flow When Only Appointment Letter is Configured

For companies that do not use an LOI, the flow skips directly to Appointment Letter generation. The Appointment Letter always includes a CTC Breakdown as a built-in section — there is no separate configuration needed.

Signing module

Signing is handled by the integrated signing module. It supports both sequential flows (signatory first, then candidate) and direct candidate flows. Signature blocks in the document are automatically populated once signed. The final signed copy of every document is available for download by both the HR team and the candidate.


Common Scenarios

CTC entered doesn't match any saved config If you enter a CTC (e.g., ₹8L) and no Offer Config covers that range, the system will prompt you to create a new config or update an existing one. You can extend the range of an existing config or create a new one for the new bracket.

Signatory email is inactive or incorrect If the signatory's email in the Offer Config is no longer active, the system will not auto-route the signing email correctly. Go back to the Offer Config, update the signatory details, then re-trigger the signing step. The document draft does not need to be regenerated.

Candidate needs to reschedule the joining date after LOI is issued The LOI is finalised and locked once sent. To update the joining date, generate a fresh draft with the corrected date and re-trigger the signing flow. The previous LOI record is retained in the audit log with a cancelled/superseded status.

You want to offer the same candidate two different CTC options Create two Offer Configs for the relevant CTC ranges. In the offer generation screen, entering the specific CTC will auto-match the right config. If multiple configs overlap, a dropdown allows you to select the intended structure.

Company does not use LOI — only Appointment Letters During Offer Config setup, select 'Appointment Letter only' when the agent asks about document types. The LOI step is skipped entirely. All subsequent offers using this config will go directly to Appointment Letter generation and the single-trigger signing flow.
