The Recruitment Pipeline Builder is your command center for end-to-end hiring automation. By connecting your frontend preferences with our powerful automation engine, you can design a seamless journey for candidates—from the moment they apply to the day they sign their offer letter.
This guide will walk you through each stage of the pipeline, explaining how to configure your settings and what the system handles for you automatically.
1. Inbound Applications
This is the entry point for every candidate. It acts as the "reception desk" of your digital hiring process.
- How to Set Up: Simply label this system stage as Inbound Applications.
- What the System Does: The moment a candidate applies, the system captures their details and prepares their profile for the screening stages.
2. Resume Screening
Save hours of manual review by letting the system identify top talent for you based on specific job requirements.
- How to Set Up: Set a Resume Score Threshold (%) (e.g., 70%). This is the minimum score a candidate needs to move forward.
- Automated Action:
- Pass: Candidates who meet your threshold are automatically moved to the next stage.
- Fail: Candidates below the threshold are filtered out, keeping your pipeline clean.
3. Screening Intimation
Keep your shortlisted candidates engaged with personalized notifications.
- How to Set Up:
- Choose Channels: Enable SMS in addition to standard emails for faster response times.
- Personalize: The system auto-fills the Job Position and Company Name. You only need to draft the specific welcome message.
- Automated Action: The system intelligently decides whether to send an Email, SMS, or WhatsApp message based on your configuration and the candidate's contact data.
4. Technical Assessment
Verify hard skills through secure, automated testing.
- How to Set Up:
- Security: Toggle on the Safe Exam Browser or Randomize Questions to prevent cheating.
- Benchmarking: Set an Assessment Threshold (%) to define a "passing" grade.
- Reporting: Enable Detailed Report if you need deep analytics on candidate performance.
- Automated Action: The system generates a unique ID for each candidate, emails them a secure link, and tracks their completion status in real-time.
5. Psychometric Assessment
Gain insights into a candidate's personality and behavioral fit.
- How to Set Up: Select a survey from your library (e.g., "UI Developer Psychometric Survey").
- Constraints: Set a Link Expiration and limit the Number of Attempts (typically 1) to ensure result integrity.
- Automated Action: Once the candidate completes the survey, the system updates their status and automatically triggers the next module in your pipeline.
6. Video Interview
We support both Google Meet and Microsoft Teams to fit your existing tech stack.
A. Google Meet
- Setup: Connect your Google Workspace. Your account is automatically set as the meeting co-organizer.
- System Action: The system checks your calendar for conflicts before creating the event and sending the invite.
B. Microsoft Teams
- Setup: Connect your Microsoft 365 account. Note that guests must accept an AAD invitation to act as co-organizers.
- System Action: The system verifies guest status before finalizing the meeting link.
Scheduling Modes:
- Automated (Manual Scheduling OFF): The candidate receives a link to your calendar and picks a time that works for both of you based on your real-time availability.
- Manual (Manual Scheduling ON): For high-touch roles, you manually enter a specific date and time for the candidate.
7. In-Person Interview (F2F)
For the final handshake, manage physical logistics with ease.
- How to Set Up: Enter your Office Address and specific instructions (e.g., "Ask for Sarah at the front desk").
- System Action: If you choose Automated Scheduling, the candidate will book a slot within your predefined "office hours." If Manual, the system waits for your specific input before sending the final confirmation and directions to the candidate.
8. Offer Management
Navigate the final stage of hiring with a structured approval and release workflow.
- Step 1: Template Selection: Choose an Active Template from your library. The system ensures you only use approved, up-to-date documents.
- Step 2: Internal Approval: Before the candidate sees the offer, the system routes it to your internal signatories for digital sign-off.
- Step 3: Candidate Release: Once approved internally, the system releases the offer to the candidate and tracks their acceptance status.
9. Document Collection
Securely gather necessary paperwork without the back-and-forth emails.
- How to Set Up:
- Organizer Email: Specify who should receive the documents (e.g., your HR coordinator).
- Context: The system auto-fills the Job Position and Company Name to ensure the candidate knows exactly what they are uploading for.
- Automated Action: The system sends a secure upload link to the candidate and tracks whether the documents are "Pending" or "Received."
